Define the buyer profile first
Before building a contact list, decide whether your product is better suited to importers, wholesalers, distributors, retailers or HORECA-oriented buyers. Then define geography, product range, expected order pattern and the type of relationship you are seeking.
Prepare a buyer-ready information pack
A concise pack can include product name, origin, variety, grade, available volume, seasonality, packing options, photographs, indicative commercial basis and your contact details. Keep claims factual and make it easy for the buyer to request the next piece of information.
Personalise the opening message
A generic “We export all products from India” message gives the buyer little reason to respond. A stronger message connects one relevant product to the buyer’s category and briefly explains why the enquiry may be useful.
Use a follow-up sequence
A practical sequence might include an initial introduction, one concise follow-up with the missing commercial detail, and a final message asking whether the product is relevant for future sourcing. Keep the cadence professional and respect opt-out or non-response.
Qualify before spending too much time
Once a buyer responds, clarify product specification, volume, pack, delivery window, commercial basis, documentation expectations and purchasing process. Qualification helps both sides decide whether the conversation is worth progressing.
Avoid unsupported claims
Do not present a prospect as a confirmed buyer, a market leader, or a guaranteed source of orders without evidence. Credibility is built through accurate product information and consistent follow-through.
Measure the process
Track enquiries sent, replies, qualified conversations, samples or specifications requested, quotations issued and next steps. The purpose is not to chase a high message count; it is to improve the quality of commercial conversations.
